Inventory file naming conventions

Hello,

I’m about to photograph all my work and start: an inventory and
database of pieces and tag each piece.

Can anyone give me advice on what should be included in the
filename?

I’m thinking of year, metal (SS, 14K, etc), jewelry type (earring,
necklace, etc.) and maybe an item number. Name would be something
like: 04SSEA001 (2004, Sterling Silver, Earring, item 001) Maybe also
a name of a line if it belongs to it.

I’ve also thought of listing the stones used, but this could make
the name quite long for some pieces. Maybe I’ll put the detailed
in the image database. Also, does a two or three
letter naming convention for gems already exist?

Thank you for your help.
Leslie Nicole

Name would be something like: 04SSEA001 (2004, Sterling Silver,
Earring, item 001)

I would suggest that you evaluate how you would like your inventory
lists to electronically sort and place that snip of by
order of importance. With your example all your sterling pieces
would sort into a group. I’m assuming you might also have a gold
group [YG14, WG14, YG18, WG18] By placing the EA [earring] before
the SS [sterling silver] you could sort by “earring” then metal.
Thus you wouldn’t have 5 or 6 groups of earrings, based on metal
content, spread throughout the inventory list.
